    JOB DESCRIPTION
    We are looking for a responsible Project Coordinator to administer and organize multiple projects as per the company policies. The Project Coordinator’s responsibilities include working closely with our site Project Managers to prepare comprehensive action plans, including resources, timeframes and budgets for projects. He/she will perform various coordinating tasks, like schedule and risk management, along with administrative duties, like maintaining project documentation and handling financial queries. To succeed in this role, one should have excellent time management and communication skills, as they collaborate with the sales and marketing team and the production team to meet strict deadlines. Ultimately, the Project Coordinator’s duties are to ensure that all projects are completed on time, within budget and meet the desired quality standards.

    PROJECT CO-ORDINATOR RESPONSIBILITIES
    1. Coordinate day-to-day project management activities, resources and information to ensure ownership of the action by project managers, service providers and suppliers.
    2. Act as the point of contact and communicate project status to all participants
    3. Constantly liaise with all Project Managers and the marketing office regarding all-important matters pertaining to the project.
    4. Breakdown projects into doable actions and set timeframes liaising with marketing office to identify and define requirements, scope and objectives.
    5. Co-ordinate project planning and sample development and approval.
    6. Maintain project samples and their documentation for products, processing and packaging materials.
    7. Help prepare project budgets and assign tasks to Site Project Managers and assist with schedule management.
    8. Provide technical inputs required by the project managers by designing tools to monitor project implementation, processing and delivery
    9. Ensure timely management of multiple lines of communication between marketing office, suppliers, shippers, customers and internal parties, maintaining details, and relaying pertinent information to appropriate parties
    10. Receive, reviewing of all field reports and create comprehensive reports for the marketing office
    11. Monitor project progress and handle any issues that arise
    12. Oversee project procurement, track stock movement across the project and advise on re-order levels.
    13. Counsel marketing office on matters transport, insurance, local taxation and on economical packaging
    14. Coordinate loading at site and delivery of products to the warehouse ensuring safe, efficient and economical means of transport as per government and company policies.
    15. Use tools to monitor working hours, plans and expenditures
    16. Ensure standards and requirements are met through conducting quality assurance as per company sample requirements. Should be able to introduce new and innovative methods to improve quality.
    17. Create and maintain comprehensive project documentation, plans and reports
    18. Work with shippers and trans loaders to execute bookings and ensure vendors/suppliers/service providers are paid timely. Executes required export documentation for multiple Projects in various stages of completion in a highly time sensitive environment
    19. Supervise goods for shipment and ensure product quality as per signed/approved project samples.
    20. Obtains export certificates from various government agencies in compliance with each shipment
    21. Assures compliance with customs, export, applicable foreign trade/importation laws, as well as applicable federal transport regulations
    22. Identify risks and opportunities, when developing logistics plan and freight estimates for international shipments to ensure cost-effective, safe, and efficient transportation of company’s products.
    23. Initiate timely invoicing and work closely with accounting department to ensure billing accuracy.

    ACADEMIC QUALIFICATIONS
    · A bachelor’s degree in Business Administration, Project Management, Social Sciences or a related field OR
    · Higher National Diploma (HND) from a technical training institute or any other qualification from a recognized technical training institute
    · A MBA is an added advantage
    · Computer literacy with proficiency in project management tools and Microsoft applications including Excel, PowerPoint and Word along with the ability and willingness to adopt new software applications
    · We prefer ages between 30-35years with at least 5 years relevant working experience
